From One Stage to the Next | How Smart Planning Makes Back-to-Back Events Seamless

Recently, we partnered with two separate clients, Federated Insurance and the Girl Scouts of Wisconsin Badgerland, for back-to-back programs at The Edgewater Hotel in Madison, Wisconsin. One event wrapped Wednesday afternoon, and the other kicked off Thursday morning in the main ballroom. That tight turnaround gave our team less than 24 hours to take the same event space and produce two different shows. Our team didn’t see this as a challenge, but rather an opportunity to put our show management process and client-first philosophy into action.


The conference double-header began with Federated Insurance, a long-time client that holds their annual two-day kickoff event at The Edgewater. Thursday morning, our team showed up coffee-in-hand, gearing up for the Girl Scouts “Leading with Legacy” event that featured tableside s’mores making–an homage to the classic Girl Scouts tradition–and the dedication of the Founder’s Award. 

Our team already knew the room inside and out, so we planned both events in a way that made the most of the space and our clients’ time. The advantage of producing both shows in the same space is efficiency. That meant a smoother transition, a cost-effective setup for both clients, and a consistent team working together to deliver exactly what each show needed. 

Going into the week, we knew that there would be a tight turnaround between events. So, we dealt with logistics surrounding the specific visions for each client, which affected equipment, turnaround time, and–as always–the bottom line. We also verified with our equipment provider that the new setup for the meetings would still fit within the budget for both clients. All of these efforts resulted in successful meetings, content attendees, and happy clients.  

It is always fun to “bring the band back together” and work with our many repeat clients like Federated, and are honored to start a new relationship with the Girl Scouts. At Tri-Marq, what makes a meeting special is not the size of the production or volume of equipment brought in. What elevates a Tri-Marq project is our people–and our process behind it. We carefully listen, plan thoughtfully, and support our clients through every step of production; it’s how we’ve done it for 37 years.

While our meeting and event team was hard at work While our meeting and event team was hard at work managing the Ground Breakers Stage at CECA, our video crews were covering 3-million square feet on the grounds (and in the sky with drones and helicopter!) at @conexpoconagg. The team of 18 included producers, videographers and editors—all on-site—capturing footage and editing. Not only did we create multiple videos for CECA, we also produced 20 videos for 8 clients that aired across the event, around the city, on social media, and even on the Las Vegas strip!

It’s Women’s History Month, so we wanted to shift It’s Women’s History Month, so we wanted to shift our focus to work that we’ve created for our clients to help empower and educate women. In a world where financial literacy is financial freedom, @northwesternmutual wanted to create this video to encourage women to take their financial future into their own hands and advocate for their own education. We were proud to help create this project with NM by handling motion graphics and animation, talent casting, and video and sound editing. Happy Women’s History Month!
